The phrase "AI receptionist" covers two very different products. One takes messages and emails them to you, which moves the queue rather than removing it. The other works inside your clinical system. Here is what the second kind actually does, from ring to record.
Step one: answer and understand
The agent sits on your phone lines and answers every call at once, so the 8am peak never becomes a queue. It holds a normal conversation, in the caller's own words and preferred language, and works out what they need: a booking, a move, a cancellation, a question, or a person.
Step two: match the caller to the record
Before anything touches the diary, the agent confirms the caller's demographics against the practice record, with an optional check against the NHS Personal Demographics Service. This is the step that stops the classic wrong-record errors that plague message-taking services.
Step three: book by your rules
EMIS and SystmOne both expose live appointment book availability through approved NHS integration routes. The agent reads real slots, respects your slot types, embargoes and rotas, and books exactly as a well-trained receptionist would. Nothing is double-entered and nothing waits in an inbox.
Step four: write back and log everything
The appointment lands in the diary, a summary of the call is written to the record, and every action is logged with a timestamp. That audit trail is what your IG lead and the supplier's Clinical Safety Officer review, and it is the backbone of a DCB0129 safety case.
Anything outside the rules, and any caller who asks for a person, is escalated to your team with the context attached. To see the whole journey on a real call, book a demo, or read more about the EMIS and SystmOne integrations.
Prime Assist is an administrative and communications tool. It answers, books, routes and escalates. It does not give clinical advice.
